Data Deletion Request

This page explains how to request deletion of data held by CHIC EXPERT LTD (trading as "ReceptionIQ") — including data received through connected WhatsApp Business, Instagram and Facebook Messenger channels. It sits alongside our Privacy Policy.

1. Who can request deletion

  • Business account holders (our customers): the owner or an admin of a ReceptionIQ workspace.
  • End customers: people who messaged a business through WhatsApp, Instagram, Messenger or a website widget powered by ReceptionIQ. In that case the business is the data controller and ReceptionIQ processes the messages on its behalf, so requests are normally handled by that business. You may still contact us and we will forward the request and support the business in fulfilling it.

2. Self-service deletion inside the app

  • Disconnect a channel: open Channels and choose Disconnect. The stored access token for that WhatsApp, Instagram or Facebook Page connection is erased and message processing for that channel stops. This works even if your subscription has lapsed.
  • Delete individual records: owners and admins can delete conversations, customers, leads, appointments and knowledge base entries from within the app.

3. Requesting full account and data deletion

Email dawood@receptioniq.uk from the email address on the account, with the subject "Account deletion", and include:

  • the account email address;
  • your business name as it appears in ReceptionIQ;
  • if the request relates to a connected Meta channel, the WhatsApp number, Instagram account or Facebook Page;
  • if you are an end customer, the business you messaged and the phone number or handle you used.

We acknowledge requests within 5 working days and may ask for verification so we do not disclose or delete data for the wrong person.

4. What gets deleted

  • Account and profile details (name, email, authentication record) and team memberships.
  • Business configuration: business profile, services, hours, pricing, AI personality settings and knowledge base content.
  • Conversations and messages across the website widget, WhatsApp, Instagram and Messenger, including message content and platform-scoped sender identifiers received from Meta.
  • Customers, leads, appointments and notifications created in the workspace.
  • Channel credentials and connection settings, including Meta access tokens and Google Calendar tokens.
  • Widget configuration and any uploaded knowledge documents.

5. Timing

Channel credentials are erased at the moment you disconnect a channel. For a full account deletion, workspace data is erased within 30 days of the verified request. Backups rotate on a schedule and purge deleted data within 90 days. We do not claim instant erasure of backup copies.

6. What may be retained

  • Billing, invoice and tax records: retained for up to 7 years where law requires it. Payment card details are never stored by ReceptionIQ — they are held by Stripe, Inc. as payment processor.
  • Security, fraud-prevention and technical logs: retained for up to 12 months, then deleted.
  • Records we are legally required to keep, or that are needed to establish, exercise or defend legal claims.

Retained records are minimised and are not used to contact you or to train AI models.

7. Data held by Meta

Deleting data in ReceptionIQ does not delete copies held by Meta Platforms in WhatsApp, Instagram or Messenger, or on the devices of the people you messaged. Those copies are governed by Meta's own terms and privacy policy and must be managed through Meta or the relevant app.

If you are unhappy with how we handled your request, you may complain to your local data protection authority — in the UK, the Information Commissioner's Office (ICO).
